The incumbent will function as principal support staff to the Senior Executive Assistant to the CEO, and Executive Management Team. Responsible for providing support for all aspects of the executive management operations of the agency. Working alongside the Executive Team and Program Directors to maintain the highest level of accountability and reliability to funders, partners, clients, employees and Board of Directors.

RATE: $40,131 - $44,990 (experience to be considered)
JOB RESPONSIBILITIES include, but are not limited to, the following:
- Provide a wide variety of clerical/administrative support to the Senior Executive Assistant and Executive Management Team, and other program directors as assigned;
- Assist with preparation of contracts and amendments as required;
- Maintain a management system for contracts, and other important agency documentation, including both hard copy and/or electronically as directed;
- Organize and maintain active/special project files as directed;
- Assist with drafting form letters and routine correspondence screening telephone calls and drop-in visitors and placing outside calls;
- Assist with making appointments, setting up meetings and making travel/lodging arrangements (internally and externally);
- Provide reception and switchboard coverage as assigned;
- Provide technological assistance to support staff and other administrative staff;
- Order and maintain adequate office supplies for Executive offices;
- Assist in the calendarization, development and implementation of special Agency events, community assessments, trainings, etc.;
- Assist with Board of Directors meetings preparation and documentation.

- Develop adequate knowledge of all CAPHR programs to make referrals to other CAPHR programs which are beneficial to the client and his/her family;
- Maintain confidentiality in all dealings for Executive Management Team with clients, staff, public officials, and all other parties who have contact and/or business interactions with these officers;
- Perform all other duties as assigned by the supervisor or his/her designee(s).
REQUIRED SKILLS AND ABILITIES:
- Strong secretarial, time management and organizational skills;
- Computer literate in such programs as, but not limited to, Word, Excel, Outlook etc.;
- Operate office equipment including, but not limited to, copiers, printers, fax machines, postage machine and telephone systems;
- Effective written and oral communication skills;
- Ability to work in a fast-paced, deadline/detail-oriented environment;
- Ability to self-manage multiple tasks;
- Must possess a valid driver’s license and be able to travel when needed.
EDUCATION AND/OR EXPERIENCE:
- High School Diploma / Business School a plus
PREFERRED EXPERIENCE:
- 3 or more years of experience in an Executive Suite environment
- Nonprofit and board governance experience
- General knowledge of local, state and federal government protocol and procedures
