Job Description
The incumbent of this position is responsible for: The Administrative Specialist is responsible for the general administrative and office duties within the Child Development Program. Assists Content Specialist team with operations and is responsible for the orderly, accurate and timely flow of all program paperwork.
SUPERVISION:
Received: Works under the direct supervision of the Fiscal Specialist, and general supervision of the Child Development Director
Exercised: None.
RATE: $27.72 -$28.35
JOB RESPONSIBILITIES:
- Provide a variety of clerical/administrative support to the Child Development Program
- Assist with the preparation of program contracts and agreements and maintain organization of all contracts and agreements.
- Assist with monthly Policy Council meetings, as assigned.
- Provide edit checks for the timely submission of USDA CACFP meal claims monthly.
- Attend meetings when requested to do so for the purpose of taking notes, preparing minutes and any other needed reports.
- Responsible for maintaining system for ordering supplies.
- Responsible for program preservice activities and collecting and ordering any needed forms.
- Coordinate staff training logistics and travel arrangements.
- Collect and distribute mail to central office team.
- Coordinate and maintain an accurate Child Development phone list and calendar of meetings.
- Maintain and track inventory of equipment including computers, printers, tablets, cell phones, etc.
- Process requisitions, purchase orders, and receiving reports as outlined in the Fiscal Policy Manual, in a timely manner, in conjunction with the Fiscal Specialist.
- Will maintain professional boundaries with all current, past, and prospective clients, and maintain the confidentiality of clients and staff, in accordance with SNHS policy and procedure.
- Abide by all SNHS Safety policies and procedures.
- Present professional and positive image as a representative of SNHS.
- Responsible for having adequate knowledge of all SNHS programs and will gather sufficient intake information to make referrals to other SNHS programs which are beneficial to the client and his/her family.
- Perform other related duties as required.
REQUIRED SKILLS AND ABILITIES:
- Must possess a valid driver’s license and be able to travel when needed.
- Strong secretarial, time management and organizational skills
- Effective written and oral communication skills
- Ability to self-manage multiple tasks
EDUCATION AND/OR EXPERIENCE:
- Minimum of an Associate’s degree
- Experience will be considered
PREFERRED EXPERIENCE:
- Experience with Head Start
- Prior administrative experience
